Clinical systems are an essential part of delivering safe, effective, high-quality care. As we continue the design phase for Unity Liverpool, LUHFT’s new Electronic Patient Record (EPR), and plan future digital developments across our organisations, we want to better understand colleagues' experiences of using the systems they rely on every day.

We know there’s currently a lot of different systems in use across our hospitals, for example ADT, PENS, iPM/PAS and ICE. The survey will help us understand what works well, where there are challenges, and what staff need from future digital systems. By hearing directly from the people who use these systems every day, we can make better-informed decisions about system design, workflows, training and support.

We want to understand how well our current clinical systems support staff in delivering patient care and carrying out their day-to-day work.

The survey asks about areas including:

  • Ease of use and overall user experience
  • System functionality and performance
  • Workflows and productivity
  • Training and support
  • Frustrations, duplication and inefficiencies
  • Opportunities for improvement

It also includes opportunities for colleagues to provide open feedback about their experiences and share suggestions for future digital developments.

The people who use clinical systems every day are best placed to tell us what helps them deliver care and what gets in the way.

Experience from healthcare organisations across the country shows that the same clinical system can deliver very different outcomes depending on how it is designed, configured and used locally. That's why understanding your experience is so important.

Your feedback will help us understand:

  • What is working well and should be retained
  • Where improvements are needed
  • What colleagues need from future digital systems
  • What makes it harder to deliver high-quality care
  • How we can better support staff through training, system design and optimisation

The more colleagues who participate, the stronger the evidence we will have to inform future decision-making and ensure future systems reflect the realities of frontline care.

The survey is open to colleagues across UHL Group who use clinical systems as part of their role.

This includes, but is not limited to:

  • Doctors
  • Nurses and midwives
  • Allied health professionals
  • Pharmacists
  • Healthcare scientists
  • Clinical support staff
  • Administrative and operational colleagues involved in patient care

If you regularly use clinical systems as part of your role, we want to hear from you.

If you use more than one system, we’re asking colleagues to please select the two you use most often and answer the questions based on your overall experience of using these systems.

You can also use the free-text boxes at the end of the survey to comment on an individual system. Please name the system you are referring to so that we understand your feedback.

While Unity Liverpool is currently focused on EPR implementation at LUHFT, we are also keen to hear from colleagues at Liverpool Women's Hospital and Liverpool Heart and Chest Hospital.

Your feedback will help shape future digital developments across our Group and ensure the needs of different services and organisations are understood as you continue to develop Outline Business Cases for your own EPR.

The survey is being conducted by KLAS Research, an independent healthcare technology research organisation, working alongside Ethical Healthcare.

KLAS works with healthcare organisations around the world to understand how digital systems support patient care and improve user experience. Their independent approach helps organisations gather honest feedback from frontline users and identify opportunities for improvement.

Their methodology has been used successfully by NHS organisations to better understand staff experiences, improve system usability and support the design and optimisation of Electronic Patient Records and other clinical systems.

The survey is being conducted independently by KLAS Research, working alongside Ethical Healthcare, who will analyse the responses. You can complete the survey anonymously. Providing your name, email address or other directly identifying information is optional and is not a requirement to complete the survey.

If you choose to provide your name or email address, you can also choose whether this information may be shared with UHL Group to follow up any specific concerns. It will only be shared if you give permission. Your IP address is also not collected.

Please take care with free-text responses: Do not include patient information or any personal or identifiable information about yourself, colleagues or other individuals in the free-text fields. To learn more about how KLAS Research process and protect your personal data, you may view its Privacy Policy.

The survey takes approximately 5-10 minutes to complete.

The survey opened on 26 October and closes on 20 November.

You can access the survey using this link.

The findings will help inform future digital planning across UHL Group, including the design and implementation of Unity Liverpool at LUHFT and future EPR developments across partner organisations.

Feedback will be used to identify common themes, understand colleagues' experiences of current systems, and help shape future decisions relating to system design, optimisation, workflows, training and support.

No. The recent Digital Confidence Survey at LUHFT focused on how confident colleagues feel using digital tools and technology.

The KLAS Clinical Systems Usability Survey is different. It focuses on the systems themselves and how effectively they support staff in delivering day-to-day patient care.
